You are the bottleneck. That is the whole problem.

You do not scale by being indispensable. You scale by making yourself unnecessary.

Lesson: I know better. I still do it anyway.

Something breaks in one of my businesses and my first instinct is to fix it. Fast. Clean. Done. Every time I do that, I make the business a little more dependent on me. And the worst part is I know it while it is happening. That is the trap, not ignorance, just habit. Every time you jump in and solve it, you get the win. The business absorbs nothing. And tomorrow you are back doing the same thing again.

Insight: The $500K ceiling is a discipline problem, not a talent problem.
  • Most owners stuck around the $500K mark are not there because they lack skill. They are stuck because they are too good at solving problems, so the business never learns to solve them without the owner.
  • A business that runs on one person does not scale. It just gets more exhausting. You become the system, and systems like that have a hard ceiling.
  • The real work is restraint. Can you sit on your hands long enough to let the process work? Can you let someone else solve it slower so the business gets smarter?

You do not scale by being indispensable. You scale by making yourself unnecessary.

Action Item: Stop being the system. Start building one.
  1. List the top three problems you solved this week. For each one, write down who should have handled it and what was missing that caused it to land on you.
  2. For each role that reported to you this week, write one sentence defining what that role actually owns. If you cannot write it in one sentence, the role is not defined clearly enough.
  3. Pick one recurring problem and write down what good looks like when it is handled correctly. Share that with your team. Then the next time it comes up, do not solve it yourself.
